We are a triple-bottom line social enterprise committed to creating a launching pad into upwardly mobile careers, especially for people with histories of incarceration and homelessness, who make up over half of our team.  We are also working to push the boundaries of environmental sustainability, adopting cutting-edge green technologies inside the plant and pioneering the use of cargo bikes for urban laundry delivery.

Job Summary: The Executive Assistant will support the CEO of a growing commercial laundry company and social enterprise with approximately 130 employees. This role involves managing scheduling, task tracking, digital organization, communication management, and other administrative duties. The Executive Assistant will collaborate closely with the CEO to ensure priorities are addressed effectively. The Executive Assistant's schedule will be 50% remote and 50% in person in our Lynn, Massachusetts laundry plant.

Key Responsibilities:

Scheduling and Calendar Management

  1. Coordinate meetings and appointments with customers, prospects, vendors, shareholders, and staff.
  2. Manage the CEO’s schedule, balancing in-plant, in-office, and remote commitments.
  3. Prioritize and reorganize appointments as necessary.

Travel and Event Coordination

  1. Manage travel arrangements, including booking flights, accommodations, and transportation.
  2. Prepare detailed travel itineraries and agendas.
  3. Coordinate small company events or internal meetings, including preparing agendas and managing logistics.

Meeting and Task Tracking

  1. Attend virtual meetings to take notes, identify to-dos, and track follow-ups for the CEO and other attendees.
  2. Maintain and triage the CEO’s to-do list, ensuring delegated tasks are monitored and completed.
  3. Provide reminders and updates on deadlines, priorities, and project statuses.

Communication and Information Management

  1. Monitor and manage the CEO’s email inbox, responding to routine inquiries and escalating urgent matters.
  2. Group and respond to internal information requests from staff on behalf of the CEO.
  3. Assist in drafting and editing company policies, internal communications, and announcements.

Digital and Data Organization

  1. Maintain and organize digital records to improve accessibility and usability for staff.
  2. Identify opportunities for better document management and workflow optimization.
  3. Compile, organize, and present data for decision-making.

Administrative and Operational Support

  1. Assist with company purchases, researching cost-effective options and ensuring timely delivery.
  2. Track and report company and personal expenses, including preparation of expense reports.
  3. Provide light tech support or coordinate IT assistance as needed.
  4. Assist with drafting and sending gift recommendations or scheduling personal appointments.
  5. Provide backup support to the customer support team during illnesses, absences, or vacation periods.

System and Process Improvements

  1. Participate in user testing of changes to company software systems, providing feedback on usability and functionality.
  2. Support the CEO in identifying and implementing system or workflow enhancements.

Qualifications and Requirements:

  • Fluent in English and Spanish.
  • Familiar with common cloud business software, including Google Drive, Sheets, Docs, Zoom, and other web-based business applications.
  • Proven experience in an administrative, executive assistant, or similar role.
  • Familiarity with basic bookkeeping principles.
  • Experience in or familiarity with the laundry or manufacturing industry is a plus but not required.
  • Bonus Skills (Not Required):

  • Familiarity with Portuguese or Haitian Creole.
  • Experience with construction projects or real estate.

Compensation and Schedule:

  • Pay rate: Competitive for location and experience.
  • Schedule: Flexible - specific hours to be determined
  • Location: Hybrid schedule (50% remote, 50% in person) and based in Eastern Standard Time (GMT-5)
  • The position is full time.
